1. Who We Are
Fields Estate ABN (pending) operates fieldsestate.com.au, a property intelligence platform serving the Gold Coast, Queensland, Australia. Our registered contact is will@fieldsestate.com.au.
2. What Data We Collect
2.1 Website Visitors
- Analytics data: Pages viewed, time on site, referral source, device type, browser, and approximate location (city level).
- Product-analytics and session data: To understand how our tools are used and to improve them, we use PostHog, which may capture anonymised session recordings (a replay of on-page interactions such as clicks, scrolling, and navigation — not keystrokes in password fields), heatmaps, and automatically-captured interaction events. This does not identify you personally unless you separately provide your details via a form.
- Tools we use: Google Analytics 4, Google Ads, PostHog (product analytics, session recording and heatmaps), the Meta (Facebook) Pixel and Meta Conversions API. These set cookies and/or use browser storage — see section 8.
- Browsing without registration: You can browse our website without creating an account. We only collect the personal information described in 2.2 below when you choose to provide it.
2.2 Information You Provide (Forms and Enquiries)
When you submit a form on our website, or an advertising (lead) form on Facebook or Instagram, or otherwise contact us, we collect the information you choose to provide. This may include your name, email address, phone number, the address of a property you ask us to analyse, and your property preferences (such as suburb, number of bedrooms and bathrooms, budget or buying timeframe, and whether you own a property).
2.3 Facebook and Instagram
We use the Meta (Facebook) Marketing API and Pages API to:
- Publish content to our Facebook Page
- Create and manage advertising campaigns
- Measure ad performance (impressions, clicks, cost)
- Track website conversions from ads (via Meta Pixel)
We access aggregated, anonymised advertising metrics only. We do not collect, store, or process individual Facebook user profiles, friend lists, messages, or personal data from Facebook users.
2.4 Property Data
We collect publicly available property listing data (addresses, prices, features) from public sources to power our market analysis and valuation tools. This is public real estate data, not personal data.
3. How We Use Data
- Delivering what you request: To prepare and send the property reports, valuations, listing shortlists and market updates you ask for, and to respond to your enquiries.
- Direct marketing: Where you have provided your details, to send you market updates and information about our services. You can opt out at any time using the unsubscribe option in our messages or by contacting us — see section 7.
- Advertising measurement: To understand which ads and content drive website visits, so we can produce more relevant property intelligence.
- Content distribution: To publish property analysis articles and market updates to our Facebook Page audience.
- Ad management: To create, pause, and optimise Facebook ad campaigns promoting our published articles.
- Website improvement: To understand which pages and features are most useful to visitors.
4. Data Sharing
We do not sell, rent, or share personal data with third parties. Data flows only between:
- Our website and secured database infrastructure (website hosted on Netlify)
- Meta (Facebook) for advertising and lead forms via their official APIs
- Our analytics and advertising providers — Google (Analytics, Ads), PostHog, and Meta — and our email/messaging providers, used to operate and improve the service and respond to you
All third-party services are governed by their own privacy policies. Some of these providers store or process data outside Australia, including in the United States; where we disclose personal information overseas we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.
5. Data Retention
- Ad performance data: Retained for up to 12 months, then deleted.
- Website and product analytics: Retained according to the data-retention settings of our analytics providers (Google Analytics, PostHog) and Meta's policies for Pixel data. Session recordings are retained by PostHog on a rolling basis and are not kept indefinitely.
- Property data: Retained as long as it is relevant for market analysis. Sold property data is retained for historical comparisons.
6. Your Rights
Under the Australian Privacy Act 1988 and Meta's Platform Terms, you have the right to:
- Access: Request what data (if any) we hold about you.
- Deletion: Request deletion of any data we hold about you. You can also request data deletion directly through Facebook (Settings → Apps and Websites → Fields Estate → Remove).
- Opt out: You can opt out of Meta Pixel tracking by adjusting your Facebook ad preferences or using browser-based ad blockers.
7. Data Deletion
To request deletion of your data:
- Email: Contact will@fieldsestate.com.au with the subject "Data Deletion Request".
- Facebook: Remove our app via Facebook Settings → Apps and Websites. This triggers an automatic data deletion request which we process within 30 days.

8. Cookies and Tracking
Our website uses cookies and similar browser storage for analytics and advertising measurement. These are set by:
- Google Analytics 4 and Google Ads — website analytics and advertising measurement.
- PostHog — product analytics, session recordings and heatmaps (helps us see which features are useful and where the site is confusing).
- Meta (Facebook) Pixel and Meta Conversions API — measuring conversions from our advertising.
You can control or block cookies via your browser settings, use browser-based ad/tracker blockers, and enable your browser's "Do Not Track" or global privacy signal. You can opt out of Meta Pixel tracking through your Facebook ad preferences. To request that we stop analytics/session-recording collection for you, contact us at will@fieldsestate.com.au (see section 7).
9. Children's Privacy
Our services are not directed at individuals under 18 years of age. We do not knowingly collect data from children.
10. Changes to This Policy
We may update this policy from time to time. The effective date below indicates the last revision. Continued use of our website or Facebook Page constitutes acceptance of any changes.
